A photo caravan at an outdoor wedding: planning your photo area
A retro photo caravan can create a separate meeting and photo area beside your venue. Access, visibility, timing and a weather plan are the practical details that matter.
Start with venue agreement and vehicle access
Ask whether the venue permits caravan access before choosing a garden spot. It needs flat, stable ground and manoeuvring space. Check the route from the gate to the location, not just the entrance. A lawn may be unsuitable after rain. Photos and a coordinator’s contact help us agree the details; exact dimensions are confirmed individually.
Keep it visible and leave room to gather
Make the entrance easy to find and leave a clear path with space for a small queue. Keep decorations away from the door and avoid staff routes or access to the toilets. If the venue has several garden exits, agree how guests will hear about the attraction. A short announcement at the right time may be more useful than extra signs.
Choose hours that fit the schedule
Consider arrivals, meals, group photos and other activities. The caravan does not need to run throughout the entire wedding. Its hours should leave guests time to use it instead of overlapping entirely with indoor activities. For an evening session, agree lighting along the access path too. Share your guest count and schedule so we can suggest suitable hours.
Discuss rain and wind before the event
Agree shelter, safe access and power arrangements with the venue and supplier. Do not assume any tent or extension lead solves every problem. If the backup plan changes the location, check that the caravan can reach it. Agree arrangements for bad weather and any changes before booking.
Plan print design and a guest book in advance
Your print design can match your names, date and invitation colours. Check spelling and approve the design in advance. For a package with a guest book, agree the table, writing materials and who supplies each item. Hiring the caravan does not include every decoration from an inspiration photo. Record the agreed scope in the offer.
